For suppliers and plant hire
Get requests for quotation from builders, price them online and win orders.
Requisitions
Site asks for materials; the office approves and orders.
A requisition is a request from site for materials or plant. Once approved it becomes a purchase order. Every request is checked against the BoQ budget for that item.
Purchase orders
Orders to suppliers, checked against budget before they go.
A purchase order commits money to a supplier. It is checked against the budget for its BoQ line: a warning at 90% committed, and approval needed above 100%. Payment needs the PO, the delivery note and the invoice to match.
Deliveries
Goods received on site, counted and photographed.
A goods received note (GRN) records what actually arrived. Count it, photograph the delivery note and record any shortage or damage. Shortages raise a claim with the supplier.
Site stores
Stock on site: received, issued, wasted and counted.
Track what is in the site store. Issues cannot exceed stock, and waste above the allowance is flagged so theft or poor workmanship shows up early.
Plant and equipment
Owned and hired plant, hire dates, hours and maintenance.
Record every machine on site. For hired plant, the off-hire date matters: idle hired plant is one of the most common cost leaks. You get a reminder before the hire runs on.
Subcontractors
Packages, compliance and performance for every subcontractor.
Each subcontractor has a package of work split from the BoQ. Their compliance status (insurance, tax clearance) must be green before they are given work or paid.
