ENORMOUS BUILDINGS

For quantity surveyors

Measure, price, value and certify, with every figure traceable to the drawing.

Tender finder

Track public and private tenders and turn a good one into a bid.

A tender is an invitation to price a job. Log the ones you find or are invited to, note the closing date and grading needed, and convert the right ones into bids. Example: a school extension for the Ministry of Education closing 30 November.

Early estimate

A cost range per square metre before any drawings exist.

A feasibility estimate prices a building from its type, size and specification, using cost per m² benchmarks for your country. It gives a low, likely and high figure so a client can decide whether to go ahead. It becomes a full BoQ once drawings are uploaded.

Rate library

Your own unit rates, reused on every bid.

A unit rate is the price for one unit of work, for example one m² of 230 mm brickwork. It is built from labour, materials, plant and waste. Keeping your rates here means every bid uses the same, current prices.

Bid builder

Turn a BoQ into a priced tender with overheads, profit and risk.

A bid is your price for the job. Start from a BoQ, then add overheads (running the business), profit, contingency (unknowns) and preliminaries (site set-up, supervision, insurance). The builder shows the total update as you change each one.

Quote comparison

Compare subcontractor and supplier quotes side by side.

Send a work package to several subcontractors and record each price. The comparison shows the lowest, average and highest. Choosing anything except the lowest needs a written reason.

Proposals

Branded quotes your client can accept and sign online.

A proposal is the document the client sees: cover letter, scope, price, programme and terms, under your logo. They open a link, accept and sign. Acceptance turns it into a live project.

Leads

Every enquiry from first call to won or lost.

Track each enquiry through Lead, Qualifying, Estimating, Submitted and Negotiating to Won or Lost. Recording why you lost tells you which work to chase.

Company documents

Registrations, tax clearance and insurance, with expiry alerts.

Tenders ask for the same documents every time. Keep them here with their expiry dates. You get reminders 60, 30 and 7 days before anything expires.

Drawings

Every drawing and revision, with the current one always on top.

The drawing register lists every sheet with its revision and status. When a new revision arrives the old one is marked superseded, so nobody builds from an out-of-date drawing.

Transmittals

Which drawings went to whom, which revision, and when they opened them.

A transmittal is the record that a set of drawings or documents was issued to someone, at a stated revision, for a stated purpose. If there is ever a dispute about who had which drawing, this is the proof.

Specifications

Specification clauses linked to BoQ items.

A specification says what quality of material and workmanship is required, for example concrete grade C25 with a 75 mm slump. Each clause links to the BoQ lines it governs.

Value engineering

Cheaper ways to build the same thing, with the saving shown.

Value engineering looks for alternative materials or methods that cost less without losing function, for example IBR roof sheeting instead of concrete tiles. Accepted options update the BoQ as a new version.

Permits and approvals

Council submissions, approvals and their conditions.

Track each approval the authority must give: plan approval, building permit, stage inspections and the occupation certificate. Conditions of approval become tasks so none are forgotten.

Compliance checks

Issues found against the building regulations, with the clause.

Each issue records the regulation clause, where on the drawing it occurs and the suggested fix. These checks are advisory; the registered professional still signs off.

Valuations

Monthly payment claims, from work done to certified amount.

A valuation claims payment for work done to date. Gross value plus variations and materials on site, less retention, less what was certified before, gives the amount due. Once certified it is locked; corrections go in the next one.

Variations

Every change to the scope, priced and agreed before it is forgotten.

A variation is a change to the original work, such as an extra window or a different floor finish. Price it from the contract rates, record its time impact and get it agreed. Unpriced instructions older than 14 days are flagged.

Invoices

Invoices with tax, a pay-online link and polite reminders.

Raise an invoice from a certificate or milestone. Tax follows your country pack. Issued invoices are locked and numbered without gaps; mistakes are corrected with a credit note.

Subcontractor payments

Assess subcontractor claims and pay them correctly.

A subcontractor submits a claim. You assess it, deduct retention and any contra-charges, and issue a payment notice. Payment is blocked while their compliance is red.

Retention

Money held back, and the date each part is due back.

Half of retention is usually released at practical completion and the rest at the end of the defects period. The system reminds you to claim it on the day.

Cost control

Budget against committed and spent, line by line.

Each cost line has a budget from the BoQ. Commitments (orders, subcontracts) and actual spend are tracked against it. Forecast final cost shows the margin before the job ends.

Contracts and notices

Contract notices and time bars, before the deadline passes.

Many contracts lose your right to claim if a notice is late, for example 28 days for a FIDIC claim. Each notice here has its deadline and a reminder.

Claims

Extension of time and money claims, with the evidence attached.

A claim asks for more time or money because of an event that was not your fault. Diary entries, photos and the programme provide the evidence.
