Programme
The build sequence on a timeline, with the critical path.
The programme lists every activity with its start, finish and the activity it depends on. The critical path is the chain where any delay delays completion.
Look-ahead
What the team commits to in the next few weeks, and what blocks it.
A look-ahead lists the work planned for the next 2 to 6 weeks. Before the week starts, each item is checked: drawings issued, materials delivered, permits approved. Anything missing is a constraint to clear.
Cash flow
Money in and out by month, so you see a cash gap before it hits.
Forecast what you will be paid and what you must pay each month. A negative month is flagged early so you can arrange finance or adjust the programme.
Valuations
Monthly payment claims, from work done to certified amount.
A valuation claims payment for work done to date. Gross value plus variations and materials on site, less retention, less what was certified before, gives the amount due. Once certified it is locked; corrections go in the next one.
Variations
Every change to the scope, priced and agreed before it is forgotten.
A variation is a change to the original work, such as an extra window or a different floor finish. Price it from the contract rates, record its time impact and get it agreed. Unpriced instructions older than 14 days are flagged.
Invoices
Invoices with tax, a pay-online link and polite reminders.
Raise an invoice from a certificate or milestone. Tax follows your country pack. Issued invoices are locked and numbered without gaps; mistakes are corrected with a credit note.
Subcontractor payments
Assess subcontractor claims and pay them correctly.
A subcontractor submits a claim. You assess it, deduct retention and any contra-charges, and issue a payment notice. Payment is blocked while their compliance is red.
Retention
Money held back, and the date each part is due back.
Half of retention is usually released at practical completion and the rest at the end of the defects period. The system reminds you to claim it on the day.
Cost control
Budget against committed and spent, line by line.
Each cost line has a budget from the BoQ. Commitments (orders, subcontracts) and actual spend are tracked against it. Forecast final cost shows the margin before the job ends.
Contracts and notices
Contract notices and time bars, before the deadline passes.
Many contracts lose your right to claim if a notice is late, for example 28 days for a FIDIC claim. Each notice here has its deadline and a reminder.
Claims
Extension of time and money claims, with the evidence attached.
A claim asks for more time or money because of an event that was not your fault. Diary entries, photos and the programme provide the evidence.
Client approvals
Choices and sign-offs the client must make, in one place.
Selections (tiles, finishes, fittings), variations and certificates the client needs to approve. Late decisions are a common cause of delay, so each one has a date.
Self-build stages
A step-by-step guide to building your own house.
For homeowners: each stage from land to moving in, with a checklist, a typical cost and duration for your country, and what can go wrong.
Snags and defects
Snag lists before handover, defects after it.
Snags are items to fix before handover. Defects are reported during the defects period. Practical completion cannot be certified with critical snags open, and retention is not released until defects are closed.
Handover pack
As-builts, manuals, warranties and certificates, gathered as you go.
Everything the owner needs to run the building. Missing items are flagged weeks before completion, not on the last day.
Maintenance
Planned maintenance for the building after handover.
Owners get reminders for routine maintenance such as gutter cleaning or pump servicing. Reactive requests go back to the original contractor.
Completion certificates
Practical, sectional and final completion, and the occupation certificate.
Practical completion is when the building can be used for its purpose, with only minor snags left. It starts the defects period and usually releases half the retention. It cannot be certified while critical or high-priority snags are open.
