For architects and engineers
Drawings, RFIs, inspections and instructions, with your client and contractor on the same page.
Drawings
Every drawing and revision, with the current one always on top.
The drawing register lists every sheet with its revision and status. When a new revision arrives the old one is marked superseded, so nobody builds from an out-of-date drawing.
Transmittals
Which drawings went to whom, which revision, and when they opened them.
A transmittal is the record that a set of drawings or documents was issued to someone, at a stated revision, for a stated purpose. If there is ever a dispute about who had which drawing, this is the proof.
Specifications
Specification clauses linked to BoQ items.
A specification says what quality of material and workmanship is required, for example concrete grade C25 with a 75 mm slump. Each clause links to the BoQ lines it governs.
Value engineering
Cheaper ways to build the same thing, with the saving shown.
Value engineering looks for alternative materials or methods that cost less without losing function, for example IBR roof sheeting instead of concrete tiles. Accepted options update the BoQ as a new version.
Permits and approvals
Council submissions, approvals and their conditions.
Track each approval the authority must give: plan approval, building permit, stage inspections and the occupation certificate. Conditions of approval become tasks so none are forgotten.
Compliance checks
Issues found against the building regulations, with the clause.
Each issue records the regulation clause, where on the drawing it occurs and the suggested fix. These checks are advisory; the registered professional still signs off.
Site diary
What happened on site today, in under two minutes.
The daily diary records weather, people, plant, work done and delays. Signed entries are locked, which makes them strong evidence if there is ever a claim for delay.
Tasks and snags
Anything that needs doing, assigned and tracked to close.
A task can come from a photo, a drawing, an inspection or a meeting. Only the person who raised it, or an inspector, can close it, with a photo of the finished work.
RFIs
Questions to the designers, answered on time and on record.
A request for information (RFI) asks the architect or engineer to clarify something on the drawings. It has a due date from the contract. If the answer changes the scope, turn it into a variation.
Site instructions
Every instruction recorded: who, when and what.
Verbal instructions are the most common source of unpaid work. Record each one with who gave it, and get it signed. Any instruction that changes cost or time becomes a variation.
Inspections
Quality checklists and hold points before work is covered up.
An inspection checks work before it is covered, for example rebar before a concrete pour. A hold point means the next activity cannot start until the inspection passes. A failed item creates a task.
Material tests
Cube, slump and compaction results, checked automatically.
Concrete cubes are crushed at 7 and 28 days to prove strength. Enter the specified strength and the result; anything below specification is marked failed and the engineer is alerted.
Meetings
Minutes and actions from site and progress meetings.
Record who attended, what was decided and who will do what. Actions become tasks with due dates.
Timesheets
Hours worked per person per day, approved for payroll.
Record hours per worker against an activity. The supervisor approves before payroll export. Overtime follows your country's rules.
Client approvals
Choices and sign-offs the client must make, in one place.
Selections (tiles, finishes, fittings), variations and certificates the client needs to approve. Late decisions are a common cause of delay, so each one has a date.
Self-build stages
A step-by-step guide to building your own house.
For homeowners: each stage from land to moving in, with a checklist, a typical cost and duration for your country, and what can go wrong.
